Who are the Exhibitors?

Networking Center Exhibitors during the Annual Conference will include industry suppliers to Florida-based attractions as well as ticket resellers. Non-members are welcome to exhibit based upon space availability.  Attractions do not exhibit.

Limited Capacity

Because of high demand, Exhibit space will sell out quickly.  Space is on a first-come first-serve basis, and we recommend that you register early.  Space is allocated first to exhibitor companies that are Conference Sponsors.

FAA Culture and Networking Center

Exhibitors should approach attendees as “solutions providers.”  “Selling” in the traditional sense is discouraged in the Networking Center. Building and developing long-term relationships is the foundation of a successful sales strategy with the FAA community.

About Exhibit Space

The location of the Networking Center is the Caloosa Sound Convention Center, (Salon C) adjacent to the Luminary Hotel.  The Networking Center also showcases the Silent Auction, and select meal functions.  Exhibitors will utilize either an (8’ length x 5’ depth empty space no pipe & drape) – OR- a (6’x 30” table-top) until space is sold out!

Use of wall outlets in the Ballroom for basic electrical needs is complimentary.  Bring your own power cords and power strips.  If you need to rent any additional equipment for your Exhibit, please download the Luminary Encore Exhibitor Form.  Complete the form and scan/e-mail it to

Exhibit Space Fee

$500 per Company (FAA Member)

$700 per Company (Non-FAA Member)

In order to qualify for Exhibit Space, at least one Company Representative must be paying for a Full Conference Registration.  Exhibit Space may not be split or shared between two companies.  When you register as an Exhibitor, the Exhibit Space fee will be automatically added to your total.  For all conference sponsors, the Exhibit Space fee is waived.  Not a Sponsor?  Become a conference sponsor today!

Exhibitor Load-in/Set-Up

Exhibitor Load-in/Exhibit Set-up is from 9:00am-2:00pm on Sunday, August 29.  All exhibitors must clear the Networking Center (Caloosa Sound Convention Center, Salon C) no later than 2:00pm.

For Vans, Cars, Small truck  - Deliveries/Unloading/Loading

For Exhibitors, you may access the roll up door for unloading/loading that is located between the hotel and Caloosa Sound Convention Center.  Entrance located on Bay Street. This entrance has a height restriction of 7 feet height, 11 feet width.

For Large Trucks - Deliveries/Unloading/Loading

For Exhibitors, if you are unloading large and/or heavy exhibit materials with a large box truck, you will need to use the loading dock (with rolling door) that opens to the back hallway of the Ballroom into the Convention Center.  Entrance also located on Bay Street.

Where to Ship Materials & Package Labeling

Packages, boxes, and exhibits being shipped to the Caloosa Sound Convention Center ahead of time must be addressed in exactly the following manner:

Shipping and Receiving Process

If shipping any materials, boxes/packages, or exhibits to the Caloosa Sound Convention Center or to The Luminary Hotel in advance, these shipments should arrive to Convention Center or to the hotel no earlier than 3 business days (Tuesday, August 24) prior to the Conference dates.

All boxes/packages and materials received by the Caloosa Sound Convention Center or hotel will be assessed a handling fee, per item, that will be billed to your individual guestroom upon receipt.

Handling Fees:

$5.00 per Box

$25.00 per Case, crate or trunk

Pallets: $75.00 per pallet  up to 200 lbs., $100.00 per pallets over 200 lbs.

Any material over 350 lbs: per to be determined

Security

Access to the Networking Center (Caloosa Sound Convention Center, Salon C) for all Annual Conference attendees (Exhibitors and Attractions) is restricted to scheduled Networking Center hours.  If you need to access the Networking Center at other times, please contact an FAA staff member for assistance.  Please do not leave valuables at your exhibit.  The FAA is not responsible for lost or stolen items.  Security is being provided.

Attend Conference Sessions

As an exhibitor, you are strongly encouraged to participate in all conference education sessions, meal functions, and evening events, in order to maximize your networking opportunities.  Our conference sessions are created to appeal to both attractions and industry suppliers.  Take advantage of these great opportunities to make connections and build successful relationships with attractions and your fellow industry suppliers.  Your presence in the educational sessions demonstrates your dedication to our industry.

Exhibitor Awards

Utilize the 2021 Conference theme, “The Roaring 20s Inspiration Innovation Illumination” and design your exhibit to best represent the theme.  Awards will be presented to Exhibitors for the following: Best in Show, Best Interactive, Best Product Placement, Best Creative Use of Conference Theme.

Door Prize Drawings

Each year, many exhibitors choose to offer some type of prize to our conference attendees, selected from business cards collected during the conference.  If you wish to participate, simply bring an item to be awarded (may be a gift basket, gift card, or complimentary sample of your company’s product or service). Display the item at your exhibit and collect business cards.  During Tuesday’s Lunch in the Networking Center, a specific time will be allotted for you to have an opportunity to draw a name and award a door prize to an attendee.

Networking Center Hours

There will be an announcement 5 minutes prior to the published Networking Center end times for all exhibitors and attendees to vacate the Networking Center in order to keep Education Session start times on schedule.  You may access the Networking Center (Caloosa Sound Convention Center, Ballroom C) during the following times:

Sunday, August 29

9:00 am – 2:00 pm: Exhibitor Load in/Exhibit Set-Up Only
6:00 pm – 7:30 pm: Opening Night Reception in the Networking Center & Silent Auction Launch

Monday, August 30

7:30 am – 8:30 am: Continental Breakfast in the Networking Center & Silent Auction

11:00 am – 12:00 pm: Networking Center Visit & Silent Auction

Tuesday, August 31

11:45 am – 1:15 pm: Lunch in the Networking Center & Silent Auction Finale

    • 12:45 pm: Exhibitor Awards, Exhibitor door prize drawings
    • 1:00 pm: Silent Auction (10 minute) countdown clock begins
    • 1:10 pm: Silent Auction ends, Networking Center closed.  All Exhibitors and attendees exit Ballroom C.

1:30 pm – 2:30 pm: (Early) Exhibitor Breakdown (optional)

Adjournment – 5:30pm: Exhibitor Breakdown and Silent Auction Check out
